The Administrative Assistant is responsible for supporting and providing adminstrative assistantance to the CEO. This role plays an important part in keeping the office of the CEO running smoothly. The duties and tasks of this role are listed below:
Duties and responsibilities
Manage the day-to-day operations of the CEOs office ensuring quality, efficiency and the utmost confidentiality
Handling of highly confidential and critical information appropriately
Plan and schedule CEOs meetings and appointments; keep CEO on track
Manage and maintain CEOs schedule and calendar
Assist executives/others in scheduling meetings with the CEO
Heavy calendar work coordinating executive schedules domestically and internationally
Prepare meeting agendas and make arrangements such as coordinating catering for various meetings
Follow up on projects and assignments due to the CEO
Coordinate travel arrangements for the CEO and outside executives visiting Taro
Handle international communications between USA, Canada, Israel and India
Plan on and off-site events which includes selecting the venue, contract negotiation, menu selection, invitation list as well as overseeing the event, if needed
Prepare and edit correspondence, reports, word documents, excel spreadsheets and powerpoint presentations for executives, committees and board of directors
Open conference calls on behalf of the CEO
Set up Go-To Meetings
Disseminate announcements on behalf of the CEO
Maintain CEOs files and records
Handle Personal Assistant duties as needed
Qualifications
Bachelor degree preferred
10 years experience performing high level administrative duties for senior level executives
Superior interpersonal skills to professionally interact and communicate with all levels in person or via email and phone
Superior skills handling confidential and sensitive information
High level of attention to detail
Advanced computer skills in Microsoft word, excel and powerpoint required; experience with Lotus Notes a plus
Ability to collect and analyze data into a spreadsheet
Project oriented and ability to multi-task in fast-paced environment
Excellent customer service and follow up skills
