The Education Practice Area (EdPA) requires a detail-oriented person to provide management support for division projects. This position will be a member of the Project Support team in Center for Education Data Integration (CEDI) and will be responsible for receiving work from project directors and task leaders and executing per the project guidelines. The team will train and familiarize you with EdPA systems and processes.
Assist project directors and/or task leaders with project initiation and close out, preparing content for modifying contracts, creating and updating subcontracting and consulting documentation, tracking tasks, labor projections, and documentation management for assigned projects.
Generate the monthly progress report which will include a comprehensive overview of monthly activities, past and projected costs, and labor tracking.
Assist project financial analysts in maintaining financial summaries and with financial reporting. Assist with monthly invoicing and financial reporting.
Assist project staff with division and unit-level standard operating procedures (SOPs) and processes related to contractual, Position of Trust clearance, financial, and other topics.
Attend project meetings and, as needed, take responsibility for note taking, action documentation, and dissemination of information to all applicable staff following meetings.
Manage logistics, invitations, agenda dissemination, and meeting documentation for project meetings as requested. Prepare travel and consultant approval requests.
Create and maintain project schedules in various tools such as Smartsheet, MS Project, and Microsoft Excel.
Apply advanced document formatting to project deliverables such as styles, table of contents, exhibits, footnotes/endnotes, tables, bullets, section breaks, layouts, etc. Use Microsoft products to capture and move charts and graphs among MS products and apply necessary styling and clean-up. Take responsibility for the quality of formats and styles applied to documents and the timeliness of their preparation.
Learn and follow established templates and processes for the creation and/or updating of project deliverables (MS Word, Excel, Project, and Adobe).
Access, update, and assist others in accessing storage spaces such as Share Point, TEAMs, network drives, and other similar electronic systems to organize and maintain secure project content.
Communicate clearly and professionally with project team, vendors, and clients.
Take ownership of own professional development to develop skills and increase competency/efficiency.
Minimum Qualifications:
High School diploma and at least 4 years’ related experience; or a Bachelor's degree or equivalent combination of education and experience.
Proficiency using the Microsoft suite (primarily Outlook, Word, Excel, and PowerPoint), both desktop and via SharePoint.
Ability to meet deadlines under pressure and multi-task, coordinating multiple and sometimes competing priorities.
Self-starter with the ability to work independently and with project teams.
Proven interpersonal and oral and written communication skills.
Excellent attention to detail, accuracy, and organizational skills.
Ability to obtain proper security clearances as noted by contracts.
Ability to handle the stress associated in meeting frequent, multiple and tight deadlines.
Ability to successfully obtain a Position of Trust Clearance with the Department of Education.
US citizenship, to meet the security requirements of the US Department of Education (ED), and the ability to successfully obtain a Position of Trust Clearance with ED.
